Basic Function:
The Executive Assistant/HR Generalist serves in a dual role, both of which handles details of highly confidential information and requires extraordinary judgment. The ideal candidate can work independently, maintains a high degree of organization and takes ownership in their responsibilities.
The Executive Assistant position provides support to the Company?s CEO and SVPs and is responsible for the coordination of day-to-day activities. The Executive Assistant must manage multiple priorities with conflicting deadlines and maintain composure when presented with stressful situations.
The HR Generalist position is responsible for coordinating the implementation and administration of human resources policies, procedures and programs for the company?s HR department.
Primary Responsibilities
Executive Assistant Responsibilities
Responsible for complex and detailed calendar management for the Company?s CEO, ensuring timeliness to appointments and modifying schedules as necessary;
Coordinate travel plans including flights, hotels, and rental cars;
Prepare and submit periodic expense reports;
Draft and/or review correspondence;
Serve as host to visitors, build and maintain relationships with those internal and external to the organization;
Orders supplies and maintain office appearance;
Ensure that various administrative tasks are completed in an effective and timely manner including reviewing/sorting incoming mail, making copies, and screening telephone calls as needed;
Assist other departments with special projects as assigned.
HR Generalist Responsibilities
Manage staff on-boarding processes to include rejection letter or initial offer letter, background check, EVerify, benefits orientation and enrollment;
Manage staff off-boarding processes to include exit interview, benefits termination, and post-employment communications;
Prepare bi-weekly payroll runs;
Perform payroll and benefits administration to include modifications due to merit increases, promotions, life events and/or open enrollment;
Conduct audits of monthly billing and employee benefit coverage to ensure accuracy;
Collect, review, approve and submit monthly bills from HR vendors to accounting;
Respond to employment verification requests, salary requests, and other federal/state/local requests;
Handle day-to-day employee HR questions and elevate more complex or high-risk issues to the Sr. Director-HR & Compliance;
Coordinate periodic compliance tasks such as filings required per labor law (EEOC, etc.) in addition to annual requirements such as issuance of W-2s and 1095-Cs and ensure accuracy;
Maintain personnel files in an organized manner;
Perform all tasks while ensuring adherence to company policies and setting an example for other associates.
Education, Experience, & Certification Requirements:
Required: Undergraduate degree;
Required: 3+ years of experience in an Executive Assistant role assisting C-level management, Office Manager role, or equivalent;
Preferred: Experience with Paychex.

Ability to adapt to changing or multiple priorities.
The Executive Assistant/HR Generalist may be asked to perform additional tasks that are not listed above. In addition, the list of primary responsibilities may change over time. This position does not constitute an employment contract of any kind.
Job Type: Full-time
Salary: $40,000.00 to $60,000.00 /year
