Office Assistant/Admin Job Opening in North Little Rock, Arkansas - RE/MAX Elite in North Little Rock is seeking an Office Assistant/Admin to join our team. We are a dynamic, growing real estate brokerage located in Little Rock, Conway, Bryant, and North Little Rock. We work hard, but maintain a fun work environment, too. If you want to work with us (and who wouldn't?), you should be very detail-oriented, super friendly, organized, and outgoing. You are the first impression that our clients get of us, so you must have a professional appearance and demeanor, and you must be comfortable dressing business casual. You should also have excellent computer skills (including knowledge of Microsoft Word and Excel), phone skills, problem-solving skills, and task-management skills. The available position works with our agents and is responsible for handling incoming/outgoing phone calls; filing documents; drafting letters, etc.; managing incoming and outgoing mail; paying bills; invoicing agents; updating QuickBooks (or similar accounting software); copies/scanning; running errands; and helping to keep our agents happy and organized. Previous experience working in a real estate office is a plus, but not required. This position is full time. Pay is commensurate with experience.
SPECIFIC DUTIES INCLUDE:
Engage agents daily with service attitude
Initiate the transitioning of newly joined associates within 8 hours of commitment
Add agents to office copy machine within 4 hours of joining
Improve the agent transition process
Improve the agent orientation program and content
Remove all departing associates from office copy machine within 24 hours of notice
Troubleshoot and resolve issues with office equipment within 1 hour
Prepare and make all office deposits at the end of each day
Pay all office bills by due date
Pay all commissions owed to agents within 12 hours of receipt
Prepare and process all agent billing by the 20th of each month
Reduce agent receivables to $0 within 12 months
Track and input all agent production
Review all agent disbursement forms for accuracy and completeness
Issue agent disbursement authorizations to title company within 48 hours of closing
Work with agents and title company regarding disbursement authorizations as needed
Input joining associates into production and billing systems within 12 hours of joining
Remove departing associates from production and billing systems within 24 hours of exiting
Assess office supplies inventory weekly and order as needed
Reduce company expenses by regularly negotiating with office supply vendors
Maintain an up-to-date office roster and phone list
Serve as liaison to office leasing company
Order office keys as needed
Improve production and financial systems and processes consistently

Answer incoming phone calls within 3 rings and courteously welcome office guests
Coordinate conference room usage
Keep areas neat and presentable
Keep coffee/lunch area neat and stocked
Keep agent workspaces neat and stocked with relevant supplies
Coordinate lunchtimes so front desk is covered at all times
Postmark and send outgoing mail daily
Check office email hourly and respond/distribute accordingly
Distribute incoming mail and agent contracts within 1 hour of receipt
Manage office touch program to in-house associates
Create and send special occasion agent cards (b-day, congrats, new baby, get well, sympathy, etc)
Input agents into office phone system and create office mailbox within 8 hours of joining
Remove departing agents from phone system and mailroom within 24 hours of departing
Clean out agent mailboxes monthly
Clean out vendor information and flyers weekly
Generate daily all-calls and reminder emails/texts
Troubleshoot and resolves issues with phone system within 1 hour
Schedule monthly vendor 101 assignments one month in advance of class
Act as office liaison to title, mortgage, inspection and home warranty companies
Maintain office supplies inventory and submit orders to main office on a weekly basis
Act as office liaison to vendors
Maintain company store (fill agent orders and submit orders daily for billing)
Keep bins stocked and notify agents of new forms
Keep all office copiers and printers stocked with paper
PREFERRED:
Real estate license (not required)
Residential sales experience (not required)
Teacher?s heart
Associates degree in accounting (not required)
MS Office and data entry skills
Basic business understanding and capabilities
