Office Manager Job Opening in Bristow, Oklahoma - What we are looking for:
An energetic Office Manager to support the work of the General Manager and the Controller as well as other operations team members. The ideal candidate will be a self-starter who is able to effectively manage, support, facilitate, and delegate both daily administrative roles as well as project- based duties. The individual should have strong initiative to achieve results as well as be extremely detail oriented so no task falls through the cracks. He or she will have a strong work ethic, commitment to clear goals and measureable outcomes, an ability to learn quickly and a practical sense. Reporting to the General Manager and to the Controller, the Office Manager will be responsible for payroll, Human Resources, Oklahoma state requirements, day-to-day office operations and low-level accounting duties (AP/AR).
Responsibilities:
Facilitate process improvement and streamlining of processes throughout the company to assist the GM and Controller with value-add projects and increased profitability.
Keep track of all expenses and complete expense reports for facility and employees.
Proactively manage and personally handle data entry of financial information.
Process payroll for up to 100 employees with a high level of detail.
Process and run Shipping Reports, BOLs, and other reporting duties.
Set up and on-board new hires including completing all new hire paperwork, obtaining all necessary items the new hire will need to do their job, and creating an inviting environment for the new hire.
Administer and keep up to date on all Human Resource functions including employee files and all other state and federal regulated HR requirements.
Schedule and contribute to meetings and management for the General Manager, Controller, and all other team members.
Oversee approximately 3 - 4 direct reports which will include clerks who are responsible for data entry, incoming calls and mail as well as ensuring the office is prepped and ready at all times.
Coordinate projects amongst departments and outside parties, set priorities, meet deadlines and follow up on assignments.
All other various and ad-hoc projects as needed.
Qualifications:
Multiple years of experience as an Office Manager in a plant or manufacturing environment required.
Intermediate computer skills and knowledge of MS Office including Word, PowerPoint, and Excel experience required.
Proven track record in past positions as a leader with a positive attitude who can pull together a team as well as streamline and improve processes.
High energy, positive, humble attitude, flexible, team focused, detail oriented with a high degree of initiative and ability to wear multiple hats.
Strong verbal, written and presentation skills including past experience interacting with both internal and external clients.
