Monument Health, LLC is a start-up organization on Colorado?s Western Slope that facilitates a network (or team) of healthcare providers and payors who work with our members (patients) and with each other to deliver better care at a lower cost. We?re looking for a proactive and energetic Office Coordinator to help support the organization.
Position Overview
The Office Coordinator must have a sophisticated understanding of the operational and administrative needs of a healthcare organization, a start-up, and a growing team. He/She will identify, facilitate, and execute day to day tasks and processes with little oversight for the smooth administrative operation of our organization. He/She will collaborate with and support a team of five staff members, including the CEO and various He/she will be responsive to a wide range of stakeholders and clients. He/She will often be the ?first face? or ?first voice? of the organization and will regularly ?wear many hats.?
Required Qualifications & Characteristics
Associate degree required; College degree strongly preferred
Minimum of five (5) years? experience working in a fast-paced, dynamic setting required; Strong preference for experience in a healthcare setting or otherwise have an acquired knowledge of the healthcare basics
Some Human Resources experience required; Experience having managed others preferred
Excellent interpersonal communication skills required, including flawless phone etiquette and customer service skills
Ability to independently exercise good judgment and prioritize multiple projects at once
A solid team player and successful when working alone
Able to apply learnings from one experience to another, continuously improving
Intermediate to advanced user of Microsoft Office (e.g., Excel, Word, PowerPoint, and Outlook); Willingness and ability to learn other computer software programs as necessary
Extremely efficient, organized, and resourceful
Basic knowledge of office equipment/machines (or willingness and aptitude to learn)
Job Responsibilities
Interacts with executives and executive assistants, the team, community partners and clients in a friendly and professional manner by phone, in-person or at events; Has solid executive presence
Answers, triages and/or responds to all incoming calls in an effective manner; Thinks on feet, problem solves, uses available resources, and independently drives closure on most issues
Creates and manages schedules, appointments and travel arrangements for the CEO and others
Prepares basic correspondence, communications, and documents
Coordinates committee meetings, Board meetings, and other events as needed flawlessly, including ordering/receiving food and ensuring complete set-up/clean-up
Attends some committee meetings, drafts, and distributes minutes and other reference materials, and drives follow up/action items to closure
Manages usual office operations such as but not limited to cleaning service, basic security service, kitchen/appliances upkeep, supplies and inventory, etc.
Ensures proper maintenance of all office equipment (e.g., computers, fax, printers, A/V, etc.)
Treats patient information and proprietary information with utmost privacy
Supports some budget, accounting, payroll, and other HR functions as assigned
Creates intuitive tracking and filing processes and systems
Occasionally able to work outside of traditional office hours at community or stakeholder events, meetings, etc. that are held during early mornings, evenings, or weekends
Available to run office-related errands or address other matters outside of the office setting
Takes on responsibilities and projects as assigned and commensurate with growth in the role
