Construction Administrative Assistant Job Opening in Wilmington, North carolina - Headquartered in Wilmington, North Carolina, we are a leader in the development, construction and management of multifamily communities. The position is full-time with benefits. After 60 days, full-time associates become eligible for benefits including Health, Dental and Vision Plans, as well as Paid Time Off.
Under the direction of the Construction Coordinator, this position is responsible for administrative and accounting duties within the Construction team. This role also will be responsible for assisting projects and tasks determined by management and department staff.
Essential Duties and Responsibilities
Clerical duties and data entry tasks required
Coordinate scheduling of multiple ongoing development administrative items as needed
Facilitate communication of details associated with ongoing projects with other team members, departments, subcontractors, vendors, architects, engineers or other associated parties.
Process any required or requested paperwork associated with project management
Create and maintain development files and records, including permit maintenance, vendor and subcontractor contact lists, and other administrative systems as needed
Manage interdepartmental communications regarding project status and other details within the company
Principal reception duties for phone, email and facsimile communications for the department
Participates in administrative staff meetings and attends other meetings and seminars as needed
Help maintain all departmental systems focused on organization, scheduling and communication
Accurate processing and payment of invoices
Obtaining necessary approvals on purchase orders and invoices
Monitoring W-9 and Insurance certificates for vendors
Timely and professional administrative support as necessary
Organizing and filing in both digital and traditional formats
Preparing and updating Excel schedules
Process any required or requested paperwork associated with accounting
Assist with various projects and tasks as determined by management and department staff
Represent the Company in a professional manner at all times. Consistently maintains a professional and courteous attitude when dealing with vendors, subcontractors, trade professionals, coworkers and the general public.

Skills/Abilities
Accounts Payable experience preferred; Yardi experience a plus
Familiarity with Microsoft Office Suite and computer-based accounting systems
Associate or Bachelor?s degree in Accounting, Business or other related field preferred
Excellent interpersonal skills to handle confidential and sensitive documentation and situations
Strong organizational skills
Excellent time management skills, including ability to meet deadlines
Strong attention to details
Good communication skills, both written and verbal
Ability to work independently
Skill Requirements
Computer literacy w/Internet and e-mail capabilities, telephone, facsimile, photocopier. Proficient in Microsoft Office products.
Qualification Requirements
3-5 years of office experience with construction administration experience preferred
General understanding of accounting principles and process
General understanding of construction development process, including scheduling systems
High school diploma or equivalent required
