Patient Scheduling Coordinator Job Opening in Midlothian, Virginia - GENERAL JOB DESCRIPTION
Patient Scheduling Coordinators are primarily responsible for coordinating meeting times between patients and health care professionals. They work directly with patients to set up appointment times and determine the length of time the health care professional will need to care for the patient.
MAJOR DUTIES AND RESPONSIBILITES
Greet patients upon arrival; responsible for check-in/check-out processes (updates, etc) patients to complete documents, case histories, and forms such as intake and insurance , confirm and maintain patient appointments, procedures and medical patients with accurate appointment date/time, and call to reschedule in timely fashion if required due to schedule conflict. Monitor schedule for late arrivals, call patients to confirm whereabouts after late window has expired. Review, analyze and forecast cancellations, double bookings or changes in schedule changes to clinical staff. Maintain comprehensive records of phone conversations, messages, and correspondence with patients, other medical offices, or general inquiry calls. Explain objectives and procedures to potential patients, and forward questions to appropriate physician or staff member. Collect copay/coinsurance amounts by collaborating with insurance coordinator or office manager to verify amount owed. Collaborate with referring office staff regarding patient records needed to render treatment. Maintain HIPAA compliance. Serve as liaison between Sleep Better Virginia and McGuire VA Hospital regarding coordination of veteran appointments.
MINOR DUTIES AND RESPONSIBILITIES
Route phone calls/inquiries to appropriate individuals if needed. Gather new patient packets once appointed. Assist with administrative duties as needed. Maintain communication with office manager and insurance coordinator to ensure patient experience is seamless. Maintain clean, organized work space and waiting area. Scan paper medical records to help with paperless initiative. Print/post schedule for next working day. Collaborate with lab manager to track lab cases for arrival to coordinate delivery appointments.
QUALIFICATIONS FOR THE JOB
Education: High School Diploma or GED required. Associate's or Bachelor's degree a plus, but not required.
CPR/AED Certification
Experience: At least 1 year experience in healthcare field, preferably medical or dental office setting. Any exposure to dental sleep medicine or sleep apnea treatment a plus. Experience with scheduling, understanding patient flow/logistics, HIPAA, and OSHA highly recommended.
Other: A patient scheduling coordinator should be able to multitask, maintain keen eye for detail,effectively communicate (spoken and written), and be a self-starter who requires little supervision, but recognize if assistance is needed for a task. Desire to understand treatment aspect is a requirement. Proficiency in Microsoft Office Suite (Word, Publisher, Excel) is a must.
