Finance Coordinator Job Opening in Washington, District of columbia - BASIC SUMMARY:
This position provides assistance to the Finance department. This position includes a wide variety of responsibilities including timesheet administration, vendor record maintenance, contracts database administration, and record retention.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Payroll/Timesheet Processing
- Act as point of contact for all employee timesheet and timesheet system related questions
- Send reminders to staff to complete bi-weekly timesheets
- Collect timesheets for bi-weekly payroll processing
- Follow up on missing / incomplete timesheets
- Reject/ re-route incomplete timesheets
- Review completed timesheets for overtime hours worked by non-exempt employees
- Run timesheet system reports as required for bi-weekly payroll
- Run timesheet system export process to export hours to payroll system
- Establish payroll registrations (for SIT/ SUTA) in states as necessary
- Administer metro/parking benefits as employees enroll/ dis-enroll in the programs
Accounts Payable
- Set up new vendors in accounting system based upon w-9?s received
- Set up ACH vendor records in accounting system for vendors/employees paid via ACH
- Send weekly notification to staff notifying them of checks/ACH?s issued by Accounts Payable
General Ledger
- Scan all posted JE?s and maintain scanned images on network for easy access by Accounting staff
- Record check as ?cleared? in the accounting system based upon daily banking data
- Distribute monthly general ledger budget vs. actual reports to staff
- Distribute annual budget reports to staff
Contracts Database Administration:
-Review contracts database for all contract related payment requests received by Accounts Payable to ensure sufficient contract value remains on related contract
-Record all contract related payments in contracts database after being processed by Accounts Payable
Record Retention
-Maintain Finance and Facilities departments offsite storage records
-Retrieve records from offsite storage as needed
-Transfer records to offsite based upon annual schedule
Facilities Support
-Provide back up support for Front desk receptionist as needed
-Provide back up support for mailroom processes (in absence of mail room staff)
-Code facility related invoices according to budget and obtain approvals for payment
-Coordinate directly with vendors to establish ACH payments
-Work with Facilities Director to establish and maintain filing system and record retention schedule for facility documents
QUALIFICATIONS:
Education: Bachelor?s degree (B.A./B.S.) or equivalent in related discipline preferred
Experience: 1+ years of administrative experience
An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.

Some familiarity with non-profit accounting, and state solicitation registrations is highly desirable
Ability to exercise sound judgment with attention to details and ability to quickly learn new skills

Ability to work collaboratively as a member of a customer service-minded department in serving the needs of a dynamic and growing organization
Must be able to handle sensitive and confidential matters with discretion
Ability to work professionally with people at all levels of the organization
