caresyntax® Inc., is growing its presence in the US and is actively seeking a highly professional, self-motivated Executive Assistant/Office Manager to join our venture-backed, fast growing organization to partner with and support our executive team in our Boston headquarters, reporting to the VP of Operations. The ideal candidate demonstrates good judgment and flexibility, is detail oriented with outstanding communication and organizational skills, and able to function autonomously in a dynamic environment. A positive, confident outlook with a sense of humor is key.
Executive Assistants ? Office Manager
What You Will Do:
Manage CEO and executive team calendars, commitments, coordinate travel, plan itineraries, develop meeting agendas and materials, manage travel expense reporting
Provide general office administration support; process incoming/outgoing mail, manage inventory and costs of offices supplies, office upkeep, communicate with building maintenance as needed, manage lunch and grocery orders, reconcile related invoices and payments
Manage in-coming calls and interactions with visitors, customers and vendors; greet/escort on-site guests
Facilitate company meetings and conference calls, distribute meeting documentation as needed
Maintain office facilities and equipment, assist with procurement, serve as liaison to building maintenance
Manage HR Administration: Enter new employees in payroll system, monitor timesheet input, provide benefits support, manage new job postings and flow of candidate applications, order new hire background checks, manage employee on-boarding activities, monitor maintenance of HR files related to regulations and laws, and ensure processing of expense reports and reimbursements
Collaborate on company projects, plan and execute team events
Assist with space allocation planning and moves as required
What You Need:
You have 3-5 years of related experience as an executive assistant or office manager supporting executive leaders, preferably at a high growth organization
BA/BS degree
You're an excellent communicator, are customer facing and team oriented
Proficiency in Microsoft Office Suite and Google applications
Ability to function autonomously in a dynamic environment, be dedicated, anticipate team and leaders needs and drive for results.
Outstanding organizational skills and attention to detail
Be a focal point to support the team
