Executive Assistant for CEO Job Opening in Tustin, California - Performs diversified advanced secretarial and administrative functions for a CEO of a Federal Qualified Health Center. Facilitates meeting logistics and calendaring. Composes communications via email, letter and voice, reports, and complex documents that require a high degree of knowledge of executive?s initiatives, policies, organization, personnel, and services. Able to administer administrative details, take and transcribe documentation of a complex and confidential nature, and use discretionary initiative and judgment in handling sensitive and confidential details. Assists with and follows through on project assignments, maintaining records and facilitating office operations. Demonstrates superior interpersonal and administrative skills commensurate with position.
Essential Functions and Responsibilities of the Job
Accurately and proficiently prepare correspondence and reports utilizing MS Office Suite applications
Communicates effectively in written and verbal form
Efficiently schedules appointments and coordinate arrangements for meetings, conferences, travel
Ensures compliance with company policies, procedures and directives
Excellent project management skills; organizes, prioritizes, and proficiently performs responsibilities with efficiency
Interacts in a positive, constructive and service-oriented manner; works effectively with department leaders, physicians, assistants and other departments to resolve issues
Experience
Minimum of 3 years working for a top-level executive in a major department, in addition to office management experience, preferred.
Advance expertise and proficiency with multiple applications, including Microsoft Office.
Ability to type 50+ WPM.
Education
College degree preferred or at least 3 years equivalent healthcare industry work experience required.
Word-processing, data analysis/excel, and computer proficiency required.
Additional certification in IT, Materials, project management and/or Lean preferred.
Families Together of Orange County a not-for-profit Federal Qualified Health Care Center (FQHC) providing full family practice, family dentistry, Optometrist, counseling, Social Services, Transportation services and more to Orange County. Looking to expand to two more facilities in the next 6 to 9 months.
