Reception/Human Resources Clerk Job Opening in Kalamazoo, Michigan - MAIN JOB PURPOSE: Ensure customer (external and internal) satisfaction by performing all duties to meet or exceed customers' requirements as well as meeting department Quality Objectives. Provide reception and human resource administrative tasks as directed.
PRIMARY RESPONSIBILITIES: Safety:
1. Comply with Company safety procedures, guidelines and posted safety regulations.
2. Maintain safe and clean reception/galley by complying with procedures, duties and responsibilities.
3. Provide support to human resource, office service and payroll functions.
Quality:
1. Maintain telecommunication system and guest arrival ensuring accurate and timely referral.
2. Maintain security by following procedures, monitoring logbook and issuing visitor badges.
3. Comply with relevant quality management system procedures and work instructions.
4. Provide accurate and timely results of work, responsibilities and projects.
Efficiency and Productivity:
1. Actively participate in Lean program support activities.
2. Professionally handle telephone system: incoming calls, internal calls, direct line backup, internal paging, etc.
3. Professionally receive guests.
4. Process incoming/outgoing mail and faxes.
5. Maintain inventory of office supplies; monitor, order, receive, shelve.
6. Manage Temporary Staffing Program.
7. Maintain employee information systems and file integrity.
8. Assist with employee events.
9. Provide all other support activities as necessary per supervisors direction.
Equipment and Facility:
1. Maintain neat and orderly work area.
2. Inform supervisor of any concerns with lobby, foyer, galley and outside walkway.
SECONDARY RESPONSIBILITIES:
1. Ensure that lobby, conference room supply area and galley are neat and orderly.
2. Perform general secretarial support tasks as needed.3. Interest and willingness to learn new tasks.
COMPETENCY CRITERIA: Education:
1. High School Diploma or GED, previous reception, administrative or customer service, accounting or human resources experience necessary.
Skills:
1. Friendly, positive, professional attitude.
2. Proven ability to multitask.
3. Evidence of organizational skills.
4. Accurate data entry skills.
5. Knowledge of Word and Excel; basic computer literacy.
6. Evidence of ability to focus on details (numbers, names, descriptions).
7. Confidential and professional business acumen.
Experience:
1. Receptionist, human resource, accounting and/or customer service experience required.
2. Telephone work experience, minimum 6 months.
3. Working knowledge of Micorsoft Office Suite.
Training: 1. Accounting, Customer Service, Human Resources.
ESSENTIAL PHYSICAL JOB FUNCTIONS: Sitting, 80% phone use, 90% working computer keyboard. Occasional reaching, bending, twisting; environment may be hot, cold, or loud, work surface may be uneven, slippery or wet.

Salary: $20,000.00 to $30,000.00 /year
