ABOUT THE ORGANIZATION: The Alliance for Regenerative Medicine (ARM) is an international multi-stakeholder advocacy organization that promotes legislative, regulatory and reimbursement initiatives necessary to facilitate access to life-giving advances in regenerative medicine worldwide. ARM also works to increase public understanding of the field and its potential to transform human healthcare, providing business development and investor outreach services to support the growth of its member companies and research organizations. Based in Washington, D.C., ARM was founded in 2009 to specifically represent the interests of the companies, research institutions, investors and patient groups that comprise the entire regenerative medicine community. Today, ARM has more than 265 members and is the leading global advocacy organization in this field.
POSITION OVERVIEW: The Committee & Executive Coordinator will fill a critical role within ARM by serving as a central point of contact for our members on a variety of fronts. This role will serve to coordinate the following areas within the organization:
1. Coordination of meetings and travel as well as overall support for ARM?s
CEO
Approximately 40% of the position will be working directly with ARM?s Chief Executive Officer to arrange meetings, phone calls and travel. In addition, this person will work closely with the CEO on presentation research and preparation, as well as other communications and day-to-day activities as needed.
2. Coordination of ARM?s standing committees and technology sections
Approximately 45% of the position will be working directly with ARM?s standing Committees and Technology Sections to coordinate their activities. This will consist of working with staff leads for each committee and section to schedule calls and meetings, taking notes during calls and meetings and disseminating notes and other relevant information to the committees and sections as needed. Specific project-based work with the committees and sections may occur on an as-needed basis.
3. Coordination of general, day-to day ARM office needs
Approximately 10% of the position will be general oversight of the ARM office on a day-to-day basis. This will include managing the ARM conference call lines and calendar to avoid overlapping use, collecting and disseminating mail, taking checks to the bank to be deposited as well as mailing checks and packages, ensuring there are adequate office supplies available, overseeing that cleaning and trash removal takes place regularly, ordering lunch for in-person meetings at the ARM office and other duties as assigned.
4. General Support to other ARM Staff / Departments
Approximately 5% of this position will be providing support to other team members of ARM, specifically on-sight at key ARM events as needed.
The ideal candidate will have 3-5 years of experience (including internships) in an administrative environment with specific experience in scheduling and managing calendars as well as keeping meeting minutes. This person will be technologically savvy and have proven proficiency in Microsoft Office with a focus on Microsoft Outlook, Excel and PowerPoint being required, and experience with other technology platforms (Adobe Creative Suite, CRM?s, etc) highly desirable. The Committee & Executive Coordinator must be extremely detail-oriented and able to handle multiple tasks in a fast-paced and rapidly growing environment. This person will be the first point of interaction for many of our members who are CEO?s and senior executives, and therefore extreme professionalism and prior experience working with C-level executives and/or members of Congress is required. In addition, prior experience in is highly desirable. We are looking for a candidate interested in expanding their responsibilities within the organization over time. This position is based in Washington, DC.
POSITION RESPONSIBILITIES:
Support day-to-day activities of the organization?s CEO including scheduling meetings and calls and organizing travel;
Effectively and professionally communicate with C-level executives regarding ARM committees and sections;
Serve as record keeper and main point of contact for the organization?s various committees and sections, as well as other organization activities;
Maintain solid member relationships by handling their questions and concerns with speed and professionalism;
Manage and maintain various organization databases and spreadsheets;
Perform administrative duties as assigned;
Assist in maintaining and updating the organization?s website;
Periodic travel required ? ARM?s events are based in different cities throughout the year. Estimated travel = 2-3 domestic trips annually, lasting ~3-5 days each.
ESSENTIAL SKILLS AND :
Bachelor's degree required
3-5 years of experience in an administrative environment with specific experience in scheduling and managing calendars, as well as keeping meeting minutes
Highly proficient in Microsoft Office, with a particular focus on Microsoft Outlook, Excel and PowerPoint
Excellent interpersonal skills both in-person and by phone, with a high-level of professionalism and prior experience working with C-level executives and/or members of Congress required
Prior experience in is highly desirable, but not required
Detail oriented and able to work in a fast-paced, dynamic environment
Effective writing and communication skills (writing test will be administered upon interview)
Internet research skills
Takes initiative; quick to learn new skills and tasks
Ability to monitor and adhere to tight deadlines
Strong prioritization and multi-tasking skills

COMPENSATION: ARM offers a competitive benefits package, and compensation
will be based on experience. This position is full-time and includes some travel.
