Job Summary
Legacy Fire Services, is seeking a reliable, organized, self-motivated, team player for a new position within the organization. Individual to provide excellent customer service to our customers as well as provide operational and administrative support to the Owners and other team members and manage the day-to-day administrative aspects of running the business. The successful applicant should possess a positive attitude, a desire to work as efficiently and be flexible with day to day operations and additional or changing job duties.
Major Tasks, Responsibilities and Key Accountabilities
Answer phone and direct calls as required with professional phone etiquette.
Provide administrative support for manager and field superintendent
Create; organize and maintain company files.
Spreadsheet creation and composing routine correspondence.
Take service calls and add them to the schedule for the dispatcher to assign
Monitor and order supplies for office
Keep office clean and presentable
Weekly payroll processing and associated quarterly filings
Maintain employee files
Safety compliance support
Insurance benefits program oversight
Input and scan bills, to Accounts Payable and Accounts Receivable
Reconcile credit cards monthly and post expenses in QuickBooks
Create submittal packages for submission to local AHJ
Perform collection duties for accounts receivables
Assist PM in project close out documentation
Assist with marketing and website maintenance for company

Basic knowledge of bookkeeping
Proven ability to implement process improvement
Ability to work independently and trouble shoot issues and provide solutions
Able to follow direction and be flexible in day to day job duties
Task orientated and meet set goals/deadlines.
Strong verbal communication skills with the ability and desire to provide excellent customer service (both internal and external)
Strong computer skills (Microsoft Office)
QuickBooks accounting software knowledge a benefit.
Education and Experience
High School or Equivalent
Preferred 2+ years experience in an administrative capacity
Knowledge of bookkeeping principals is beneficial
Valid Nevada driver?s license
