Financial Steward Associates is a Financial Planning and Investment Advisory firm, located in Boulder, CO. We are looking for a full-time Branch Office Assistant. As part of the FSA team, the Branch Office Assistant is key to helping fulfill our mission: Making a positive difference in the lives of our clients by helping them pursue financial peace of mind. The assistant provides one of the main sources of contact with our clients and is an important support piece to help them reach their goals.
What are the responsibilities of the Branch Office Assistant?
The purpose of the Branch Office Assistant is to ensure a smoothly functioning office environment, support the members of the FSA team and serve our clients in pursuit of their goals. There are three primary responsibilities: support the FSA team and manage the day to day activities of the office; serve our clients directly; and help support our marketing efforts. You get to do this by providing excellent service with great enthusiasm and caring.
You are responsible for knowing and following the Client Service Standards, which define the service we give to our clients.
You are responsible for maintaining a warm and welcoming demeanor, a positive and supportive attitude, and be willing to always conduct yourself at the highest levels of ethics and integrity.
You are responsible for the office environment. This extends from the physical appearance of the office to our welcoming atmosphere.
You are accountable to yourself, your co-workers and FSA. This means understanding that your actions and what we do as a team determine your success, the client?s success and the success of FSA.
Some of the traits we believe are required to help you be successful are being a self-starter, a multi-tasker, detail oriented, having good follow through, organization skills and great attitude.
This is a dynamic position with lots of responsibilities. You will need to be able to learn and get up to speed quickly with several tech platforms we use: Redtail CRM, proprietary Intranet with LPL Financial, Quickbooks, Dropbox, MS Office suite (word, outlook, excel, etc.). You will also need to be able to prioritize tasks to make sure that everything is handled appropriately and in a timely manner.
In this position, you will learn about the financial planning business from the inside out. There is potential for bonuses based on individual and team performance. We also have special days throughout the year, including volunteer day and incentive plan celebration day.
Tasks of the Branch Office Assistant (not exhaustive)
Manage the advisors and the general office communications: phone, fax, email, mail; Schedule meetings and manage advisors' calendars
Support the office compliance program: client files, business files, monthly correspondence reporting, document/statement retention, advisor alerts, keep business licenses up-to-date
Manage marketing calendar and provide general marketing support, including planning several established events, monthly newsletter, sending out cards, etc.
Office management: order supplies, admin support, deposit checks, run reports
Bookkeeping support: write weekly checks, reconcile credit card statements, send bills for Financial Planning services, coordinating with the Accountant for other issues
Maintain client files according to both internal and external rules, regulations and procedures. This includes both paper and electronic files.
Answer client questions and inquiries and provide general client service support, e.g. send out money, change addresses, retrieve investment information, research issues, etc.
Technology support: liaison to our technology vendors.
Apply professional standards for all internal and external communications.
Attend company functions: client seminars, events, etc.
What does success look like?
The office is consistently welcoming and all callers on/to the office feel welcomed; Schedules are consistently kept to standards.
Take responsibility for the quality of the product you deliver to every client, internal and external. Provide complete and accurate information the first time.
Correct mistakes immediately so that subsequent errors of the same type do not occur.
Current procedures are consistently used; New procedures are implemented immediately.
Notification is provided in advance in case a deadline cannot be met.
You have a positive, can-do attitude and ask for help when you need it to make sure that our clients are being well-served in a timely manner.
