Business Office Manager Job Opening in Columbus, Ohio - Position Summary:
The Business Office Manager is responsible for ensuring the integrity, accuracy, confidentiality and maintenance of student financial records in compliance with all state, accrediting and federal regulations, and should be able to respond to all inquiries expected in an audit or accreditation visit. The BOM is also responsible for all on-site payroll and human resources functions.
Essential Duties and Responsibilities:
Informs students on a monthly basis of their account balances by oral and written means and collects and records all payments.
Handles payment vouchers from agencies that cover student payments.
Runs Potential Graduates and Externships with Account Balance Report two months prior to the student?s final exam to follow up with the student until the balance is zero prior to externship or graduation dates.
Determines the appropriateness of outside collection activities on inactive student balances in order to manage bad debt from dropped students.
Reconciles daily payments collected from students vs. Campus Bank Report and actual cash, checks, and credit card payments on hand, and make the deposit on a daily basis
Reviews the Earned Revenue Detail Report versus the Master Student Listing Report on Active students. Any negative items in the Month Earned column should be reviewed to be sure they are accurate. Any student with a balance that has not changed from the prior month should be reviewed. The Adjustment Column should be zero, unless the item has an explanation.
Is responsible for all human resources and payroll functions.
Attends and participates in A/R meetings concerning the development of the weekly goals progress.
Maintains accounts payable to ensure that vendors are paid in a timely fashion.
Coordinates with admissions, education, career services, and the registrar to maintain consistent processes and standards regarding development and maintenance of student financial records.
Assists with annual reports to regulatory agencies.
Communicates effectively (by both written and oral methods) institutional and corporate goals/objectives to all staff, faculty, and students.
Monitors and maintains the institution?s computerized data system, CampusVue, to ensure that information contained therein is accurate, entered in a timely fashion, and backed up to avoid the loss of crucial data.
Provides computerized reports to the school director and to corporate management on a regular basis with regard to accounts receivable/accounts payable, cash flow and collections.
Is knowledgeable of and follows all state, accrediting, and financial aid compliance standards in a timely and complete manner.
Maintains and secures institutional procedural manuals and other documentation required by state, accrediting, and federal agencies.
Attends regular student services activities including: new student orientation, graduation ceremonies, holiday parties, and student education achievement award ceremonies.
Is readily accessible for meetings requested by students, staff, and faculty.
Assists and supports the admission?s team by being available to meet prospective new students.
Is interested in and knowledgeable of departmental details in all areas of the business office operation.
Follows all procedures and standards as defined by Education Affiliates Inc.
Completes all other tasks as assigned by the school director.
Promotes a positive and motivational working and learning environment with an emphasis upon the success of each student.
Creates an atmosphere of trust and respect with personnel from other departments and shall understand the necessary interdependence with other departments in order to create the best overall school environment.
Ensures that discrimination of any kind is not supported or nurtured and shall take action to support acceptance and tolerance.
Is willing to support the institution?s purpose, goals, objectives, and agreements as a condition of employment.
Speaks supportively of all corporate staff, school staff, faculty, and students, refraining from any gossip, or negative or derogatory statements of any nature.
Networks effectively with other Education Affiliates business office managers and with Education Affiliates corporate personnel in order to utilize materials and techniques that already exist within the EA corporation.
Obeys all laws and regulations of the surrounding community and shall conduct himself/herself in such a way, within the community, as to reflect positively upon the school.
Immediately asks for assistance from the school director if he/she is uncertain of the appropriate action to handle any issue within the school.
Regular and reliable attendance.

At least three years of significant office administration work experience, maintaining business or accounting records
BS degree in administrative or accounting area may substitute for work experience
Strong computer skills in the area of data management and word processing
Excellent grammar
Strong time management skills
Ability to work in a fast paced and stressful environment handling many responsibilities at once
