Purchasing Coordinator Job Opening in Brentwood, Tennessee - The Procurement Coordinator is responsible for creating purchase orders, ensuring the accuracy of each order, and coordinating every aspect of the order, receipt, returns, and warranties process. Primarily supports IT and Start-ups.
Primary Duties:
Creates purchase orders through purchasing system for requested items, including purchase orders for IT products and services, and uses approved vendors
Reviews, evaluates, and monitors department purchase requisitions for proper authorization, specifications, and legal compliance
Manages change order process in purchasing system
Manages IT vendor purchase order process
Checks shipments to ensure quality and quantity of purchased items
Monitors all purchase requisitions and handles adjustments with vendors
Processes proof of delivery requests
Audits and reconciles aging reports
Drafts recommended training documentation and procedure documentation (flowcharts, SOPs) for orienting employees about ordering process
Tracks IT contracts
Reconciles with accounting to ensure they have data for accruals
Audits and processes IT invoices to be paid and reconciles invoice discrepancies
Prepares and presents purchasing expense tracking reports for budgeting to IT Managers
Executes all return transactions for Accounts Payable
Completes special projects as assigned
Other duties as required and assigned
Education and Experience:
Associate degree or equivalent; Bachelor?s Degree preferred
Minimum 2 years related experience and/or training
Excel skills required
Great Plains and sourcing preferred
Essential Skills:
Excellent written and oral communication skills that demonstrate a proven ability to develop relationships with a range of internal and external customers
Excellent planning and organizational skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manual
Ability to write routine reports and correspondence
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form*

While performing the duties of this job, the employee frequently is required to sit, reach with hands and arms, and talk. The employee is regularly required to use hands to finger, handle, or feel. The employee must occasionally lift and/or move up to 15 pounds. The employee is regularly exposed to ambient lighting and temperate climate conditions.
